Mobility budget: benefit settings

In the benefit settings, you can make changes to the settings of the mobility budget. For instance, you can change the type of the mobility budget and how the budget is reset.

 

Selecting the mobility budget type

You can choose whether the amount of budget issued in the form of HSL Commuter Benefit or HSL Business Travel will be issued once a year or in smaller instalments every month.

An annual budget is a flexible option that you can issue to your employees throughout the year. For instance, those employees who have an indefinitely valid employment contract can be issued a larger amount of budget than those with a fixed-term employment contract in seasonal work. 

A monthly budget is a better option when you wish to issue a specific amount to your employees once a month. When changing the type of budget from an annual budget to a monthly budget in the benefit settings, you will also need to choose the amount of budget that is to be issued to all employees at the same time.

Once you have selected the amount of the monthly budget to be issued to all employees, you can edit the amount of budget issued to a specific beneficiary by going to the beneficiary’s information. For instance, you can change the amount you wish to issue depending on the employee group.

Your employees will only be provided with the selected monthly amount on each day the monthly budget is issued. It is not possible to add an additional amount of budget to an employee in addition to the monthly amount. You can only change the monthly amount that is to be issued. 

When should you change the type of the mobility budget?

If you have already used an amount that is issued once a year and you wish to switch to issuing monthly instalments, we advise you to make the change at the turn of the calendar year. Changing the type of the mobility budget from an annual budget to a monthly budget will immediately reset any unused budget. 

 

When you wish to start using a monthly budget instead of an annual budget:

1)  If you wish to issue a monthly amount from 1 January – make the change after 1 December.

2)  If you wish to issue an amount on the last day of the month – make the change in January. 

Please note that any changes you make in the benefit settings enter into force immediately and will remain so indefinitely. 

Monthly budget

If you decide to start using a monthly budget, please reserve enough time for the process of changing the budget type. Send invitations to the beneficiaries well in ahead so that they have enough time to start using the new budget type before the first instalment is paid out.

If you choose to issue an amount to the employees once a month, you need to also choose whether the amount is issued

1) on the first day of the month 

OR

2) on the last day of the month.

The selection you make applies to all beneficiaries who are provided with HSL Commuter Benefit in the form of the mobility budget. 

Example: If you choose the first day of the month as the payment date as of 1 February, you can issue the monthly budget already from 2 January. When sending invitations to the beneficiaries, set the benefit to be valid immediately and choose the desired monthly amount. Request the employees to activate the benefit immediately upon receiving the invitation to ensure that they have the benefit ready in the HSL app on the first payment date, that is, on 1 February.

Resetting the amount of budget at the turn of the year

You can choose whether the amount of budget issued to the employees is reset at the turn of the year or whether the amount remains available to the employees the following year as well. 

The amount of budget is reset at the turn of the calendar year

There are two options you can choose from in the settings of the mobility budget: 

1) The amount of budget for the beneficiary remains the same as the previous year.

2) A new amount of budget is set for the beneficiaries for the following year.

Use the second option if the amount of budget issued for the following year changes. 

The amount of budget is not reset at the turn of the calendar year

The option of not resetting the amount means the amount of budget will not be renewed automatically at the turn of the year. You can issue the desired amount of budget to the employees yourself at the beginning of the year.
